Consultation

We start by listening to understand your vision, needs, and budget. Through site visits and collaborative communication, we establish a project framework.

Estimating & Budgeting

We identify the required scope of work and prepare a comprehensive estimate outlining the breakdown of cost across various categories, trades or areas.

Proposal & Contract Execution

A contract proposal outlining deliverables, price, timeline and terms is submitted to our customer for review and acceptance.

Design

Upon execution of the contract, any required design work commences. This is a very collaborative stage that engages the customer through the iterative design process.

Planning & Startup

In this stage, we create a detailed schedule, execute purchase orders and subcontracts with our vendors, procure permits and plan the initial deliveries & activities to support startup in the field.

Construction

This stage represents all activities on the construction site including the protection of existing structures and work, then ranging from early site prep all the way through final finishes and punchlist.

1. CONSULTATION

Consult With Us To Get Your Project Launched

After a consultation, we expect to be much closer to understanding our client’s needs and goals. Often times, multiple iterations of communications and / or site visits are required to nail down all the details. This allows us to enter the budgeting and proposal stage with adequate information, resulting in a more thorough scope and detailed proposal.

Initial contact comes in many different forms ranging from web form inquiries, phone calls and text messages. We are happy to respond with whatever method the client has initially chosen. As we move forward, we begin to streamline our communication channels to keep everyone on the same page, and keep the conversations contextual to the project at hand. Most often we begin using our project control system, JobTread, at a very early stage.

You are not alone if you don’t have definition developed for your project yet. More often than not, our clients start the conversation with us before they have a fully formed design or vision. We love to help develop the concept and design with the client’s ultimate objective at the forefront of every step. We are experts in asking the right questions, which allows us to extract important details from you that ensure the outcome align with your objectives.

Through the consultation process, we will work with you to refine the project deliverables, which allows us to determine the project scope to be priced. A clear and concise scope will be developed to ensure there are no overlaps between what we need to provide and what others will provide.

2. ESTIMATING & BUDGETING

Determing The Cost

The estimating process allows costs to be determined for the required scope of work, and allowances to be established for various components that have not been fully designed or determined. For most projects, an accurate budget is developed during this stage.

Our goal is to deliver unparalleled accuracy in our estimates. Through our experience, and by leveraging a very detailed and refined estimating process, we calculate the quantiies of various work items to be performed, and procure quotes from our trusted suppliers and subcontractors. We have a high level of confidence in the cost of the work by going through this process and applying thorough cost logic to each line item in the estimate.

The project complexity, size and scope directly affect the duration of the estimate process. It could take a couple days on a smaller and more simplistic project like a single bath remodel, or it could take weeks on a larger and more complex project such as a new custom home build.

An allowance is a cost budget for items in the project that have not been fully designed or determined at the time the estimate was prepared. Most often, allowances pertain to items that are pending customer selection such as plumbing fixtures, electrical fixtures, appliances, tile, flooring, etc. Later in the planning & startup stage, a process referred to as ‘Selections’ determines the final cost of the items originally pertaining to the allowances.

3. PROPOSAL & CONTRACT EXECUTION

Establishing an Agreement to Move Forward

Once the budget and any applicable allowances have been established for the project, it is time for us to propose a formal agreement, outlining the expected outcome for both parties. Upon the acceptance and execution of the contract, the project is official, and our team begins working on the downstream stages.

We are a fixed price contractor, meaning we take on the majority of the risk on a project. Most often, the only cost risk our customers still assume are those related to cost allowances or unforeseen conditions (ie. unsuitable soils, factors outside our control, etc.) that can’t be discovered until construction begins. We believe taking on the risk of providing a fixed price for the majority of the project provides great value to our customers, and reduces their risk significantly. This is quite contrary to the practices of a ‘cost-plus’ contractor, whereby their risk is very limited, and they pass on their costs and fees to the customer, despite what the costs end up being.

Generally, we show pricing detail at the category level (ie. Sitework, foundations, framing, plumbing, mechanical, electrical, drywall, etc.). Often times we also present the pricing breakdown at the area level (ie. Kitchen, Master Bath, Living Room, etc.) in addition to the category level.

Customers often times elect to add or change scope of work after the construction process has begun. We have developed a process that easily handles making any changes. It starts with identifying what has been changed, followed by preparing an estimate and then submitting the change in price to our customer. We have a formal streamlined change order process that we leverage, which keeps the project financials up to date and transparent for all parties. Our customers never have to worry about not having an  accurate picture of where the project budget stands.

4. DESIGN

Developing The Desired Form & Function

Every project starts with a design, whether it be formal or informal. The more thorough the design, and the more information developed and specified during the design stage, the higher likelihood for a successful project. We are used to taking our customer’s dream or vision, and turning it into a beautiful design that can be constructed. We leverage our internal design capabilities with 3D modeling technology as well as our professional design partners to creative a comprehensive design that can be communicated and then carried out through the construction stage to ultimately meet or exceed expectations with the finished product.

Many of our projects begin with a 3D model developed in-house to produce great visuals for all stakeholders to gain an understanding of the proposed design and scope of work at hand. Often times, the project is constructed directly from the model without the need for any additional formal design documents prepared by licensed design professionals. In the case of new builds, major additions or structural changes, professional design documents are often required to go through the permitting and inspection processes. In these cases, we engage our professional design partners (ie. architect, civil engineer, structural engineer, mechanical / electrical / plumbing engineer, etc.) to assist with the design package.

When the conceptual model we develop is not adequate to fully communicate and document the plans for permitting and construction, we engage our architect to prepare a set of architectural documents that are sufficient for permitting, construction and inspections. In addition to the architectural documents, our architect incorporates all other design disciplines (ie. civil, structural, mechanical, electrical, plumbing, etc.) into their template and plan set.

For residential projects, we are typically able to develop a site grading plan to communicate the design and scope to our sitework contractor without the need for a professional civil engineered plan. In the case a professional design is required, we have the resources available to produce these plans.

We are able to leverage our professional structural engineer on projects ranging from small repairs and investigative testing / analysis, all the way to larger complex projects requiring a full structural design.

Similar to civil design, we are most often to work with our mechanical, electrical and plumbing subcontractors to leverage their experience and develop respective designs for their trade specialties, without the need for a professional engineer to develop a plan set. Some projects do require a professional design, in which case we leverage our MEP professional engineer partners.

One of the most important parts of a project are the final finishes and the aesthetic outcome stemming from the decisions made during the design and selections processes. Some of our customers elect to handle these design and selection scopes on their own, while others seek our professional opinion and make decisions from that. We strongly recommend leveraging a professional interior designer as the ultimate value they deliver usually far exceeds the cost of their services. Through our strong partnership with Lilac Interiors, we are able to offer interior design services as part of our total project management and delivery system.

5. PLANNING & STARTUP

Establishing A Plan For Successful Execution

Every successful project begins with good planning. It takes a very deliberate effort to meticulously detail each phase and task of the project, so that all stakeholders are kept in the loop.

We detail every task on the project from the very beginning. We leverage the gantt chart method within our project management platform (JobTread), and share the schedule with our customers, subcontractors, vendors and internal team members. Our schedules are just a pretty graph, but rather the lifeblood of our daily management and communciation.

Permitting is required for most projects dependent on the scope of work and contract value of the project. We secure permits as early as possible in the startup stage as having them approved and issued by the applicable jurisdiction is crucial for starting the work and scheduling inspections.

Most of our subcontractors and suppliers are partners that we’ve built strong relationships with, though we sometimes have to find and develop new relationships. Before work is  released, we issue formal subcontracts or purchase orders, specifying the scope, pricing, terms and insurance requirements. Upon execution of the subcontracts or purchase orders and receipt of the required insurance certificates, work may then commence.

To setup the project site for success, we start by implementing numerous site controls. These include but are not limited to construction entrances and access / laydown areas, construction dumpsters, temporary toilets, temporary power, establishment of building layout control, and erosion control.

In most cases, the specific finishes (ie. tile, countertops, flooring, plumbing fixtures, electrical fixtures, etc.) are selected by the customer after the project has begun. Allowances for these finishes are established during the estimating stage. As the cost for the selected finishes are determined, the final cost is weighed against the respective allowance and any necessary adjustments are made via change order.

Similar to selections, specifications involve the customer making decisions in order to produce a list of requirements for the finishes throughout the project.

6. CONSTRUCTION

Putting Real Work In Place

All the design, permitting and planning in the weeks and months prior lead to this stage, where real form and function begin to take shape and the dreams and visions of our customers begin to come to life

When the project involves a new building or an addition to an existing building, preparation of the site is the first step in making it possible to construct the building elements. Sitework consists of but is not llimited to clearing, cut/fill, grading, storm drainage and paving.

The elements of the building that make up the total footprint and usable space are constructed layer by layer from the ground up including the foundations, slabs, wood framing, wall sheathing and roof sheathing. Then the components that make the structure weather tight are added, such as the windows, exteriors doors, roofing, and siding.

MEP stands for mechanical, electrical and plumbing. During rough-in, all the piping, ducts and wiring to distribute service throughout the structure are installed. It is critical during this stage to carefully plan and review the locations of all MEP routes and termination points, to ensure they are logical and support the desired functionality and convenience when the project is trimmed out and completed.

There are many types of insulation used in different applicaions. The most commonly used on our projects are spray foam insulation and batten insulation. We work with an energy consultant along with our insulation subcontractor to review the parameters of the project and design an insulation solution that meets the performance desired and the building code requirements.

This is a very rapid stage in the construction process that transforms the look and feel of the proejct. Once drywall is installed, final shape is given to the inside of the rooms and spaces, transitioning the project from the rough activitites that set the stage, to the finishing activities that refine it into its final look and feel.

When the cabinets, interior doors and trim get installed, you can get a sense that the end is in sight. It is at this stage that you can begin to imagine yourself in the finished space and how it is going to flow and function once completed. The cabinets on our projects are typically installed raw and then we finish them onsite to achieve the highest level of finish possible.

Countertops, tiling, flooring and painting are among the finishes that wrap up the final major activities on the project. This is an extremely detailed stage that relies on highly skilled craftsmen and artisans in each of their respective trades. This is also when we install the selected plumbing fixtures, electrical fixtures, bath accesories, glass enclosures, closet systems, etc.

As the work winds down, we begin the process formally know as ‘punchlist’. This is where we go through the project with a fine toothed comb to identify areas that need some attention to get them to an acceptable level. Every piece of work put in place is subject to scrutiny as we seek to hold ourselves accountable to deliver a best-in-class product. You can view this as the final stage of our quality control process, where we are preparing to ‘turn over the keys’ to our customer.

Throughout each stage of construction starting with the foundations, all the way through the final building inspection, we comply with all jurisdictional building code, and inspection requirements. On a typical build, you would have these inspections….. footing, foundation, slab, plumbing rough-in, electrical rough-in, mechanical rough-in, framing, shower pan, plumbing trim, electrical trim, mechanical trim, and building final.
